Administrative Supervisor - Purchasing

Department: Category Management
Location: Lacey, WA

The Administrative Supervisor’s position in Category Management plays a key role in our Purchasing division. The Supervisor requires the ability to work and lead a team of Category Assistants in a fast-paced, demanding, and continuously evolving environment, providing critical support to members of the Harbor’s Category Management team. This team member must have the ability to prioritize workloads, multitask and lead our Category Assistant team in meeting strict deadlines while managing interruptions. Understanding the components of Category Management workloads, will be required. This position must have at least 3 days in-office/onsite; two may be hybrid eligible.

Compensation: $30-35/hr DOE

Essential Job Functions:

  • Fine tune, create and maintain Standard Operating Procedures (SOP) for Category Assistant team of three. Train team on best practices, trouble shoot bottlenecks and pain points as pertains to efficiency and execution.
  • Create and provide actionable reporting tools & synthesized data for the Category Management and assistant teams to support SKU maintenance and rationalization. Track and follow through team actions necessary to clear aged inventory and move out unproductive SKUs.
  • Standardize preparation for vendor meetings and events. This should include consolidation for vendor reporting requests such as; fill rate, purchase history, current marketing use ledgers, aged inventory listings, outstanding rebate and aged receivable ledgers. This may also include managing RSVP’s for larger scale events.
  • Spearheading maintenance of “Blanket Orders” -extended lead time orders for items which fall outside of normal stock status-. Requires the review of aged order reports and cross departmental collaboration with category management, buyers and customer service to fulfill or clear orders.
  • Collaborate with Category Management to ensure program compliance orders are maintained and corresponding objectives are achieved.
  • Coordinating donation requests for retail community and Harbor Cares events.
  • Manage the tracking of marketing use ledgers and year over year vendor marketing & rebate tacking spreadsheets.
  • Manage the processing of contract orders for proprietary programs as field orders are submitted and prepare program order upload files for customer service.
  • Coordination and preparation of consolidated customer facing deal offer files for events and digital upload.
  • Complete additional tasks assigned by department management.

Knowledge, Skills, and Abilities:

  • The Category Assistants Manger role requires someone who is collaborative, highly organized and has an acute attention to detail.
  • The ability to motivate, lead and support a dynamic team of administrative professionals.
  • Intermediate to advanced skill level in MS Excel and MS Office; and the ability to extract actionable data points from worksheets, graphs and tables.
  • The ideal candidate would have a working knowledge of the convenience distribution industry and prior experience in a wholesale, retail, or supplier environment.

Education and Experience:

  • The ideal candidate would have a working knowledge of the convenience distribution industry and prior experience in a wholesale, retail, or supplier environment in advanced clerical support or administrative leadership.
  • Prior purchasing/procurement/vendor administration in senior administrative support in either a Buyer capacity or supplier team environment relating to large volume Category Management.
  • Bachelor’s degree in business, Supply Chain, Marketing, or related field.
  • Applicable experience in an administrative role database maintenance, or related position in a retail or supplier environment (preferably management), may be considered in substitution for a degree.
